A. REGISTRATION PROCESS
      The team cap for this year’s IVED is 60 teams, with possibility of expansion to 70 teams (under condition explained on Phase IV). The registration fee will include designated lodging, meals, and transportation during the entire course of the tournaments and a city tour package (options available in registration form). The overall registration process is going to be divided into 4 phases:
Phase I  September 15 – October 15 – Pre-registration and Early Bird Payment,
Phase II October 16 – November 30 – Main Registration Payment,
Phase III – December 1 – December 15 – Waiting List Payment
Phase IV – December 16 – January 8 – Late Registration Payment; Filling of Team Details.

PHASE I – August – Pre-registration and Early Bird Payment
To complete the pre-registration, teams under the same institution are required to fill in the registration form online from this weblog (the link can only be accessed once registration is open).
No later than 48 hours, you will receive a reply stating whether or not the team of your institution is being one of the first fifteen teams to register. We will also release a regularly updated list of pre-registered participants.

Why should register fast?
What’s good on our registration system is that we’re offering a considerably lower registration fee for those who register fast. It is an Early Bird system which will only be rewarded to the first fifteen teams. These teams will only have to pay a registration fee in a sum of IDR 450,000,- per person. Early Bird will only be given to a maximum one team per institution. So, if you register 3 teams, for instance, at the very first second the registration opens: one team will be put on Early Bird, one team on the main list, while the last one team on the waiting list.
If you have received an email from the registration officer in response and being confirmed as one of the first fastest fifteen teams, Congratulations! You are now required to pay at least 50% of the registration fee within 14 days, started from the day you received the confirmation email. The rest 50% should then be completed within 28 days, started from the day you received the confirmation email. Failed to do so, your Early Bird status will be eliminated and your team will be put automatically on the main list.

PHASE II – Main Registration Payment
      In this phase, you are allowed to pay your registration fee in a sum of IDR 550,000,- per person and allowed to pay this on installment basis. Failed to do this within the time period given, your team will automatically be dragged down to the waiting list. Please notice that all payments you’ve made earlier are non-refundable and non-transferable. You will also receive a confirmation email pertaining to your registration status no later than 48 hours after your transfer receipt(s) has been sent. Fail to complete your payment within the required time, your team will then be downgraded onto the waiting list

PHASE III – Waiting List Payment
Shall there is any team who fail to complete their second phase registration, this phase will be opened to teams already on the waiting list. Teams on the waiting list are allowed to secure their slots by making their payment until December 15. The inclusion of teams on the waiting list will be done on the first-come-first-served basis.

PHASE IV – Late Registration Payment; Filling of Team Details
      Late Registration Payment would only open under any of the two following possible scenario:
·   Shall there are still empty slots available by the end of Phase III, any new teams (regardless of being recognized in the waiting list) will then be allowed to make payments with conditionality of paying a raise on the total registration fee to IDR 650,000,- per person. Payment and registration system applied would be the same as the system being used in the phase II.
·    Shall there are no more empty slots available by the end of Phase III, while there are still considerable number of teams/institutions enlisted on the waiting list, the committee will then expand the team cap accordingly to the maximum of 70 teams. These expanded slots will be prioritized to teams from institution which had never joined any of the previous IVEDs.
Additionally, within this phase, teams are also obliged to fulfill their delegates’ details on the registration form (attached along the letter or can be downloaded here) and send it to ived2011@gmail.com. You shall then receive your final confirmation email no later than 48 hours.
